JOB OPENING: NEXT-LEVEL EXECUTIVE BOARD ASSISTANT, GLOBAL SHIPPING HQ, NL-AMSTERDAM (36 – 40 hrs/wk)

 

   Role description

As a next-level executive board assistant, you will be providing executive support and assistance to the executive board of one of the largest global shipping organizations in the Netherlands. Your main responsibility will be to assist and support a team of five executive board members, closely collaborating with both the executive board secretaries, and the partner administration secretaries. Additionally, you will manage the executive board’s travel arrangements with the in-house travel agent. This pivotal role, situated at the international headquarters in Amsterdam, demands the highest levels of professionalism, discretion, reliability, and task management.

 As for this role’s main responsibilities, you can expect:

  • Strategic business partnership;
  • Management of complex email, calendar and travel arrangements;
  • Screening and organizing of incoming information and calls, with task prioritization;
  • Resolving most inquiries and challenges independently, escalating complex issues as necessary;
  • Streamlining of workflows and maintaining efficient daily operations;
  • Planning and organizing various meetings and appointments, ensuring timely execution;
  • Recording minutes, action items and decisions during key meetings, and ensuring follow-through;
  • Developing and deepening understanding of processes and procedures;
  • Preparation of presentations, emails and documents with a high level of professionalism and accuracy;
  • Identifying areas for improvement of the office organization and efficiency;
  • Assisting and supporting executive board members with any additional tasks or projects, as required.

They have a proven track record of maintaining confidentiality, an excellent eye for detail, as well as a well-developed sense of business politics and diplomacy. They maintain a positive attitude, and possess a natural interest in organizational design, eagerly welcoming the opportunity to contribute to the executive board’s goals and objectives. The ideal candidate identifies well with the following criteria and competencies:

Criteria

  • Interest in and affinity with the international business world of shipping;
  • Education: Preferably a completed Bachelor’s and/or Master’s degree in Business Administration, Hotel Management, and/or Executive Support;
  • Minimum of five years of professional experience in an executive office;
  • Expert-level written and verbal communication skills in Dutch and English;
  • Proficiency in MSOffice; tech-savvy;
  • Passion for the role of Executive Board Assistance;
  • Available for 36-40 hours per week.
