Excellent primary and secondary employment conditions based on 24-32 hours per week (including bonus, 8.3% holiday allowance, and 40 vacation days per year with a full-time employment).

 

   The role

As a professional executive assistant at Van Wijnen Haarlemmermeer, you will support the managing and assistant director, 1:2 and from A-Z! This includes a strong focus on proactivity, progress monitoring, anticipating and identifying, initiating and coordinating actions to be taken. You will work closely with your fellow executive assistant, who supports the HR, Customer & Market, and Communication managers, and you will cover for each other in case of absence. Together, you ensure smooth support for ‘your’ management. In addition, you will manage the Business Support and Facility team (four employees) as a working team leader, and you will have hierarchical responsibility for the Reception (two employees).  

As to your activities, you can a.o. think of:

  • Being a sparring partner;
  • Being the first point of contact, both internally and externally (without shielding off access);
  • Agenda and time management;
  • Preparing, planning, organizing, coordinating, and taking minutes of meetings;
  • Preparing, organizing, and coordinating various other meetings, events, and calls;
  • Monitoring the follow-up of action points and decisions;
  • Deepening your understanding of processes, procedures, and regulations;
  • Coordinating information flows;
  • Streamlining and structuring daily operations optimally;
  • Managing emails;
  • Ensuring brand consistency, communication, and preparing presentations;
  • Responsible for managing Business Support, Facility, and Reception;
  • Keeping the CRM and E-archiving system up-to-date;
  • Performing all other business support tasks as needed.
 

   Position requirements

The ideal candidate

You are professional, cheerful, decisive, and connective, with several years of relevant work experience. You are the pivotal point that is optimally involved in the activities of your managers and the organization. You have a warm business-like attitude and enjoy making things run as smoothly and efficiently as possible. 

Furthermore, you are energetic, honest, and work accurately and in a structured manner. Naturally, you are digitally skilled, able to handle stress, and can work well both independently and as part of a team. You have good perspective, adapt quickly, and can communicate effectively at all levels. You are naturally agile and interested in understanding how organizations work. You enjoy taking a look “in the cockpit” to filter relevant information for your professionals optimally. You are eager to be challenged in your further development and have a passion for the roles of Business Support, Facility, and Front Office. In short, you are committed to helping your professionals and organization achieve their ambitions to the fullest. Exceptionally adaptable and impactful!

Experience & Qualifications

  • Interest in and affinity with the world of Van Wijnen;
  • Bachelor’s level of education or higher; for example, a completed degree in Management, Economics, and Law (hbo-MER), Hotel Management, and/or Support Training from Schoevers Opleidingen;
  • At least five years of relevant work experience in a professional environment;
  • Interest in and affinity with marketing communication is a plus;
  • Excellent command of the Dutch language in both written and spoken form (good command of English and German is a plus);
  • Excellent command of MsOffice and iBabs; digitally skilled;
  • You are available for 24-32 hours per week;
