From your own Dutch home office (or location of your choice), you assist this dynamic entrepreneur from A-Z. You go the extra mile in enabling him to reach his full potential by allowing his newest top-level business ventures to flourish. In addition, you also support his entrepreneurial partner with calendar and time management. And you support them together as their lifestyle manager. Enabling them both a smooth business and personal life!

Position

As a dedicated virtual personal assistant/business partner you assist and support a successful and an inspiring, internationally renowned entrepreneur. From A-Z! You ensure that both his business and personal life runs as smoothly as possible. You love providing high-level day-to-day assistance and in-detail planning, organization and coordination of various meetings, events and calls. You take care of complex, multi-stop global travel arrangements, itineraries and visa requests, tailored to his personal preferences. You maintain (international) contacts and ensure a correct progress or follow-up at all times. You manage expenses, organize international team building events several times a year which you will also be invited to attend. You prepare auditor visits and, where possible, you handle all recurrent matters with a high degree of independence. Also, you are more than happy to assist in various search jobs and projects and to act as a business partner and/or host/hostess. It boosts your energy to be able to allow a busy professional to flourish and feel happy, by creating a smooth business and personal life!

Next to these activities, you also support this entrepreneur’s partner with calendar and time management. And you support them together as a lifestyle manager! As their lifestyle manager you take optimal care of their personal well-being. For example, if desired, you schedule a sports or yoga class, or arrange that unforgettable trip for which you propose the best foreign accommodations tailored to their personal preferences. And you may manage to surprise them for example with two tickets for their favorite artist’s concert or that one special exhibition, which happens to be in the vicinity of their stay.

The business-to-private ratio in this role amounts to approximately 50:50%.

The ideal candidate

The ideal candidate is prepared to go the extra mile in understanding exactly what this entrepreneur and his partner need and wish for. This is this role’s most important successfactor! And of course the flexibility to be on stand-by 24/7, when needed. You have at least five years of relevant work experience at higher professional or university level in a supporting, but independent role. For example as a business assistant at a start-up. Or as a virtual personal assistant, an office or a project manager in the world of hotel industry, travel, hospitality or wellness. You enjoy working with demanding, highly trained professionals and love being able to exceed expectations. It goes without saying that you are tech-savvy, digital and future proof! Zoom, Slack, Trello, PowerPoint and social media for example, hold no secrets for you. You also know how to manage time properly, how to keep your head cool and remain punctual, flexible and structured. Even during peak load. You are proactive, ambitious, extremely service-oriented and accurate in everything you do. Meticulous, discreet and not easily get overwhelmed. You see your role ideally as that of a “conductor”: in the lead and always a few steps ahead! You have strong administrative and communication skills. Switching between different activities, priorities and timezones energizes you, as well as enabling the achievement of challenging deadlines and goals. You are proficient in Dutch, English and French (spoken and written). Proficiency in Spanish (spoken and written) is recommended.

Terms of employment

Furthermore, you will have the opportunity to work independently from your home office (or location of your choice). Essentially, the role can be filled in full time with the flexibility to be on standby 24/7, when needed. You will of course be provided with a laptop and mobile phone, with the option of BYOD.
